Summer 2026

Hello FWS Employers and Department Administrators,

The month of May is always hectic as we all hurl toward the end of not only the spring quarter, but for many, the normal academic year. Naturally, our workload increases in May as we continue to monitor and address issues with the University's Federal Work Study allocation and student usage.

As we wrap up the normal academic year, we want to say thank you to all the employers for all the work you do with FWS students on their training, development, and acclimation to the NU community. 

Below, we are writing to share some important information about the end of the spring quarter, final pay periods of the year, and a lead into the 2026-27 year. 

📅 Important Dates

• June 6, 2026 – LAST DAY OF EMPLOYMENT for graduating students earnings FWS
• June 6, 2026 – End of pay period See: bi-weekly payroll calendar
• June 12, 2026 – Timecard approvals for pay period 5/31/2026 – 6/6/2026
• June 13, 2026 – LAST DAY OF EMPLOYMENT for all other students earning FWS wages
• June 14 – September 12, 2026 – Summer! No FWS wages are allowed. (If your student will work during this timeframe, please update the myHR Temp Funding panel effective 6/13/26)
• June 26, 2026 – Timecard approvals for pay period 5/31/26 – 6/13/26
• June 26, 2026 – Last day to submit requests to FWS program for FWS wages adjustments
• June 30, 2026 – End of Federal fiscal year – no more FWS adjustments
• August 15, 2026 – First day 2026-27 jobs are posted to the NU Student Job Board (submit your job posting here)
• September 13, 2026 – First day eligible students may earn FWS in 2026-27
• September 2, 2026 – First day of Fall Quarter

🚨 Jobs marked for 2026-27 jobs on NU Student Job Posting Form will be posted starting 8/15/2026.

🚨 Students who will continue working during the summer should be transitioned in myHR Temp Funding Panel to department wages by adding a new row of funding and listing account code 60120:  askhr.northwestern.edu/guides/managing-temporary-employees/using-the-temp-funding-page

🚨 Students will receive their 2026-27 financial aid notice in the summer. If they are eligible for FWS, it will be listed on their financial aid notice. Employers are responsible for updating student employment records and funding in myHR to ensure they are paid correctly once the academic year begins. 

If a student has questions about their award notice, they should contact undergradaid@u.northwestern.edu.
